Digitization of Paper Archival Materials Started at Sakpatenti
July 04, 2024
At Sakpatenti, representatives of the National Archives of Georgia started the scientific and technical processing of the material documentation of the Office. Sakpatenti is guided by the recommended standard of the National Archives, according to which, formation of the archive envisages conducting examination of the documentation from the foundation of Sakpatenti to the present day, drawing up descriptions and signing a waste paper act for documents to be destroyed.
After completion of the above-mentioned procedure, digitization of the paper material will be carried out, as a result of which, easy and fast access to documents in electronic and material formats will be achieved at Sakpatenti. Thus, diversification of information protection, which will be implemented by increasing the range of consumer tools, will ensure reduction of risks caused by various changes and dependence on one type of product. It is noteworthy that the necessity to carry out digitization of archival materials was caused by migration of material documents to electronic format as well as by the conditions of accelerated digital transformation and the requirements of the international quality management standard ISO 9001:2015 (management of documented information).
Proceeding from the above, an agreement was signed between Sakpatenti and the National Archives of Georgia, on the basis of which, the National Archives will provide archival services to Sakpatenti for creating material and electronic archives of the Office. As a result of these works, the documents formed in 1992-2017, which are preserved at different areas, will be systematized. In addition, for the Office, the use of modern digital technologies in the archival work is a guarantee of improvement of access to electronic documents and permanent storage.
In the organization and formation of the archive, Sakpatenti staff members, who have passed theoretical and practical training on archival work, will also be engaged. Formation of the archive will last for approximately 5 years.
